DSPFY Help

Documentation app for direct support professionals.

How DSPFY works in 3 screens

  1. 1. Record

Tap the note button and describe your visit out loud. Speak naturally, in any language. You can also type if you prefer.

  2. 2. Polish

Tap Polish. The AI runs on your phone and rewrites your words into the six Medicaid documentation elements. It takes about 10 seconds. Review each section and correct anything that is not right.

  3. 3. Attest and save

Confirm the note is accurate. The note is saved to your phone with a timestamp and an Audit-ready badge. Export it to your agency any time you need.

Getting started

Is my data safe?

Your notes never leave your phone. The AI that writes your notes runs on your device. We never see your visit notes, your voice recordings, or your clients' information. The only thing that goes to a server is if you tap Express interest on a provider. That sends the provider's name and a random device ID. No notes. No names. No health information.

Do I need Wi-Fi to use this?

No. Recording a note, structuring it, reviewing it, and saving it all work offline. The app downloads the AI model once when you first use the Polish button. After that, no internet connection is needed for documentation. You need Wi-Fi or data only if you want to express interest in a provider on the Home tab.

My agency uses Therap. Does DSPFY replace it?

No. DSPFY helps you write a better, faster note. You still submit your documentation to Therap or whatever system your agency uses. Think of DSPFY as the drafting step before submission. Export your note from DSPFY and paste it into your agency's system.

Can I document in Spanish?

Yes. On the note screen, tap Start recording and speak in Spanish. The AI structures your note in Spanish. You can also type in Spanish using the Type instead option. Other supported languages: English, Haitian Creole, Tagalog, French, Russian, and Arabic.

Does DSPFY work on Android?

Not yet. The current version is iPhone only. An Android version is planned.

I am deaf or hard of hearing. Can I use DSPFY?

Yes. Tap Type instead on the note screen to type your note instead of speaking it. Everything else in the app works the same way. Voice is never required.

Your notes

What if I made a mistake in a note?

On the Polish review screen, tap any section to correct it. The section opens in a text editor. Make your change, tap Apply correction, then attest. If you already attested, you cannot edit that note. You would need to start a new note for the same visit and note the correction in the new entry.

Why is the Polish button loading forever?

The first time you tap Polish, the app downloads the AI model to your phone. This is a one-time download and takes 2 to 10 minutes depending on your connection speed. Stay on the screen and keep the app open. After the download, future notes polish in about 10 seconds. If the spinner keeps going after 15 minutes, go to Profile, Models and check the download status.

What does Audit-ready mean on my notes?

After you attest a note, it gets an Audit-ready badge. This means the note covers the required Medicaid documentation elements and you have confirmed it is accurate. If your agency or DDD ever audits your records, an attested note has a tamper-evident chain showing it was not changed after you confirmed it.

What does attesting a note mean?

Attesting means you confirm the polished note accurately describes what you did during the visit. It is the equivalent of signing a paper form. Once you attest, the note is locked and marked with the time. An attested note cannot be edited. If you need to correct something, start a new note.

My note came back with Not recorded in some fields. Is that a problem?

Not recorded means the AI did not find enough information in your recording to fill that field. It does not add information that was not there. Speak for longer on your next note and describe the visit in more detail. Include what you did, how the individual responded, and how long the session lasted.

How do I export a note to my agency's system?

Open the Notes tab, swipe left on any note, and tap Export. Or tap Select at the top, choose multiple notes, and tap the share icon. You can copy the text, email it, or paste it into any app.

How do I delete a note?

On the Notes tab, swipe left on any note and tap Delete. A confirmation dialog will appear. Once deleted, the note cannot be recovered.

Privacy and safety

Can my employer see my notes in DSPFY?

No. Your notes are on your phone. Nobody else can read them unless you export and share them yourself. DSPFY does not connect to your agency's systems. You control what leaves your phone.

What happens if I lose my phone or delete the app?

Your notes are stored on your phone. If you lose your phone or delete the app, your notes are gone unless you exported them first. We recommend exporting notes to your email after each shift. Go to Profile, Export my data to download everything at once.

Why does the app ask for my location?

The Home tab shows a map of NJ provider agencies near you. Location is used only to show you which providers are nearby. Your location is never recorded, stored, or sent to any server. You can deny location permission and the map will still show NJ providers, just without sorting by distance.

What is the Vault?

The Vault is your portable professional record. It holds 28 items that most agencies ask for when hiring: background checks, training completions, credentials, and health requirements. When something expires, DSPFY reminds you. Everything in the Vault stays on your phone.

Troubleshooting

The microphone is not working. What do I do?

The app needs microphone permission to record your voice. Go to your iPhone Settings, scroll down to DSPFY, and make sure Microphone is turned on. If you would rather type, tap Type instead on the note screen. Typing works just as well as speaking.

Why does the Home screen show a map instead of my notes?

The Home tab is the abundance signal. It shows you the agencies near you where you could work. This is part of a future feature where providers can connect with DSPs. Your notes are in the Notes tab, second icon from the left.

How do I report a problem or suggest something?

Go to Profile (last tab, person icon), then Report a bug. Describe what happened. We read every report and respond within 48 hours on business days.
